Setting-up Netscape Messenger for accessing MATHSTAT e-mail


How to set up Netscape Messenger to Access MATHSTAT (@mathstat.yorku.ca or @pascal.math.yorku.ca) e-mail.

 MathStat-specific notes

The following notes are adapted from CCS' guide on how to set up e-mail for @yorku.ca accounts, and is directed only at those people wishing to set up Netscape Messenger pointing towards their @mathstat.yorku.ca (@pascal.math.yorku.ca) account. (If you are using CCS' e-mail servers, please contact CCS directly for assistance, at x55800, <helpdesk@yorku.ca> or by visiting T128 Steacie.)

To dispel some confusion: mathstat.yorku.ca, pascal.math.yorku.ca, loginsrv.math.yorku.ca and mailhub.math.yorku.ca are all (currently) the same machine. The reason for the multiple aliases are partly historical and partly as a means of retaining flexibility. For example, using the mailhub.math.yorku.ca alias would make it much easier to separate the mail server functionality from the computational server (pascal.math.yorku.ca) at some point in the future, should we choose to do so. Likewise with giving out e-mail addresses as <stevenc @ mathstat.yorku.ca> rather than as <stevenc @ pascal.math.yorku.ca>.

 Netscape Messenger Setup

After installing Netscape, you must create your own user profile. If you have already created one, go to the section titled "Setting Preferences". Otherwise click on Start - Programs - Netscape Communicator - Utilities - User Profile Manager.  A "Profile Manager" window pops up with a Default profile. Select the Default profile and click on Delete. A "Delete Profile" window appears. Click on Delete Files and then click on New.  The "Creating a New Profile" window pops up on your screen.  To start creating your profile, click on Next. The "Enter your Name and Email Address" window pops up.

Type your full name (e.g. John Smith) in the Full Name field  and your email address (e.g. newuser@mathstat.yorku.ca.) in the Email Address field.  When you have specified the necessary information, click on the Next button to continue.The "Choose a Name and Directory for your Profile" window pops up.

  4. The default Profile Name is your username.  The default directory to load the profile is already set. Click on Next to continue  The "Set up your Outgoing Mail Server" window pops up.|
  5. Set up your Outgoing Mail Server

  6. If you access the Internet via the York University modem pool (or are directly on campus and connected via the LAN), type in mailhub.math.yorku.ca. If you are using a commercial Internet Service Provider (ISP), then you must enter the server information specific to that service. You can obtain this information from your ISP. Once you enter the correct server name, click Next. The "Setting up your Incoming Mail Server" window pops up.

  8. For mail server user name, type in your username. For incoming Mail Server, type in mailhub.math.yorku.ca. For Mail Server type check IMAP. Click on Next to continue. The "Setting up   your Newsgroups Server" window pops up.

  10. The news (nntp) server is  newshub.ccs.yorku.ca with port 119. Leave Secure unchecked and click on Finish.  The Netscape window pops up.  Now you need to specify the Preference settings.

   Setting Preferences

Click on Netscape's Edit menu and select Preferences from the drop-down list.  A Preferences dialog window appears on the screen. 

The left side of the window displays the preference categories and the right side displays information about the selected category.  To expand a category, click on the plus (+) sign to the left of the category name.  The plus (+) sign will change to a minus (-) sign and a drop-down list of sub-categories will appear. 

The following section will concentrate on the Mail & Newsgroups preference settings.  If you have not already done so, click on the plus (+) sign preceding the Mail & Newsgroups category.  The Mail & Newsgroups sub-category, drop-down list appears.   Your Preferences screen will look similar to the following:


 Setting Mail & NewsGroups Preferences 

  1. When you click on the Mail & Newsgroups category the "Settings for Mail and Newsgroups" option appears on the right side of the window.
  2. Under the heading "Plain quoted text beginning with ">" is displayed with" select the style, size and colour you would like to assign to quoted text that appears in reply messages.
  3. Under the heading "Display plain text messages and articles with" select Fixed width font or Variable width font.
  4. Check "Play sound when messages arrive" to be notified by sound whenever you  receive new mail. 
  5. Check "Remember the last selected message" to show the last message you looked at from your message window.
  6. Check "Confirm when moving folders to the trash" to display a message that will prompt you to confirm that you want to delete the folder(s).
  7. Leave "Use Netscape Messenger from MAPI-based applications" unchecked.
  8. Click on OK to save your selections.

 Identity

To specify your Identity settings, click on the Identity option and fill in the following fields. 
Your name: Type your full name.
Email address: Type your e-mail address. Your e-mail address will look similar to newuser@mathstat.yorku.ca.
Reply-to-address: Type your Reply-to address if it is different from your e-mail address.
Organization: Type Mathematics & Statistics, York University
Signature File: Optional - If you have a signature file type the absolute path, or click the Choose button to browse for your signature file.  When you find the file, click on the filename to select it.  If you don't  have a signature file, you can create one using any word processor and save the file in text format.   After you create your signature file, save it in a folder (e.g. folder signature in c:) and then click on Choose to specify the path (e.g. c:\signature).

Your screen will look similar to the following:

When you complete the required fields, click on OK to save the changes.


 Mail Server

  1. Click on the Mail Server option from the Mail and Newsgroup Preferences category.  The Mail Servers preference dialog box appears.

Click on the Add... button to specify the Incoming Mail Server.  The "Mail Server Properties" dialog window pops up.

Following the Server Name: field type mailhub.math.yorku.ca.
Following the User Name: field type your username (e.g. newuser).

Leave the "Remember password" uncheck, but check the box preceding the "Check for mail every 5 minutes."

Your "Mail Server Properties" window will look similar to the following:

Click on OK to save your selections. The Mail Servers preference window reappears.
  1. Under the section "Outgoing Mail Server", specify the outgoing mail server and the outgoing mail server user name.
 
Outgoing mail (SMTP) server: Type mailhub.math.yorku.ca
Outgoing mail server user  name: Type your username, e.g. newuser
Please Note: If you are connecting from another Internet Service Provider (ISP) such as Rogers@home, Shaw@home, Sympatico, AOL, etc., you must specify your ISP's outgoing mail (SMTP) server, not mailhub.math.yorku.ca. Contact your ISP for assistance in determining the correct mail relay server to use.
Following the prompt "Use Secure Socket Layer (SSL) or TLS for outgoing mail:" check Never.
  1. Click on the Choose button and specify the path of your local mail directory.  Your "Mail Server" preferences window will look similar to the following:

Before you click on OK, click on the Edit... button located on the top right of the the Mail Servers window.  The "Mail Server Properties" window pops up.   Make sure the General tab is selected.  The Mail Server, Server Type and User Name are already specified.  If you have not already done so, leave the "Remember password" unchecked, but check the box preceding the "Check for mail every 5 minutes."  The General window will look similar to the following:

  3. Click on the IMAP tab.  Check the box preceding "Move it to the Trash folder, "Clean up ("Expunge") Inbox on exit" and "Empty Trash on exit."  Leave the other boxes unchecked.  The IMAP window will look similar to the following:

  5. Click the Advanced tab.  In the "IMAP server directory" box type ~/Mail/.   Uncheck the "Show only subscribed folders," but leave the "Server supports folders that contain sub-folders and messages" checked.

    Under the section "These preferences specify the namespaces on your IMAP server" delete everything in the Personal namespace field, the Public [shared] field and the Other Users field.

    Uncheck the box preceding "Allow server to override these namespaces."  The Advanced window will look similar to the following:

    Click on OK to save your selections. 


 Newsgroup Servers

To specify server settings for reading discussion groups, click on the Newsgroup Servers option. 
    Click on the Add... button.  A "Newsgroup Server Properties" dialog box appears on the screen.

    In the Server: field type newshub.ccs.yorku.ca.

  1. Do not change or add any other information.

  2.  

    The "Newsgroup Server Properties" box will look similar to the following:

  3. Click on OK.   The screen will look similar to the following:

   Addressing

To specify the setting for addressing messages, click on the Addressing option.
     
  1. Under "Pinpoint Addressing:"

  2. Check whether to look for addresses in the "Address Books" and/or the "Directory server."
     
  3. Under "When there are multiple addresses found:"

  4. Check whether to "Show me a list of choices" or "Accept what I have typed." 

    Under "If there is one match in your personal address book:"
    Decide if you want to check or leave unchecked "Whether to use the address and do not search in the directory."
     

  5. Under "When displaying full  names"

  6. Check whether to "Show names using display name [from address book card]" or "Show names using last name, first name."
     
  7. When you have made all your choices, click on OK. 

  8.  

    Depending of the choice you made, your Addressing window will look similar to the following:

 Messages

Click on Messages to select settings that will control how the Composition message window will work. 
  1. Under the "Forwarding and Replying to Messages" section:
  1. At the "By default, forward messages" prompt, select Quoted.
  2. Check "Automatically quote the original message when replying"  to automatically include the original message when sending a reply.
  3. At the "Then:" prompt select start my reply above the quoted text.
  4. Check "Spell check messages before sending" to automatically check your spelling before you send your message (which can be annoying or useful, depending on your spelling skills).
  1. Under the Message Wrapping section:
  1. Check "Wrap incoming, plain text messages to window width".
  2. Type 72 in the "Wrap outgoing, plain text messages at _____ characters box."
  1. Under the Send messages that use 8-bit characters section:

    Check "As is (does not work well with some mail servers).

    Depending on your preference Messages settings, your screen will look similar to the following:

  1. Once you make all your selections click on OK.

 Window Settings

Click on Window Settings to Configure your window layout.
     
  1. Choose which layout you would prefer to use for your Message window.
  2. Check whether you would like to display messages, folders, and newsgroups in a new window or whether you would prefer to use the existing window.
  3. Choose whether the Messenger or Message Center window opens when you choose Newsgroups for the Communicator menu  or click its icon.

    Depending on you selection, your Preferences "Window Setting" screen will look similar to the following:

  1. Once you have made your selection, click on OK.

 Copies and Folders

  1. Click on the Copies and Folders option from the Mail and Newsgroup Preferences category.  The Copies and Folders preference dialog box appears.
  2. From the section "When sending a mail message, automatically" select where you would like to store copies of your outgoing mail messages. 

  3.  

    If you decide to put them in a folder, but don't want to use the default Sent folder, click the Choose Folder button to specify some other folder.

    Select whether you want to send a blind carbon copy (bcc) to yourself or to another addressee.  If you decide to send a blind carbon copy to another addressee, enter the person's email address in  the provided field.
     

  4. From the section "When sending a newsgroup message, automatically" select where you would like to store copies of your outgoing newsgroup messages.

    If you decide to put them in a folder, but don't want to use the default Sent folder, click the Choose Folder button to specify some other folder.

    Select whether you want to send a blind carbon copy (bcc) to yourself or to another addressee.  If you decide to send a blind carbon copy to another addressee, enter the person's email address in  the provided field.
     

  6. Under the section "Storage for Drafts and Templates" specify where you would like your drafts and template messages stored.

    You can leave the default settings or you can click on Choose Folder... to specify some other folder location.
     

  8. When you make your selections, click on OK.  Depending on your choices, the "Copies and Folders" preferences window will look similar to the following:

 Formatting

  1. Click on Formatting from the Mail and Newsgroup Preferences category.  The Formatting preference dialog box appears.
  2. Under "Message Formatting" check "Use the plain text editor to compose messages."  It is not necessary to check any other options.
  3. Click on OK.  The Formatting preferences window will look similar to the following:

 Return Receipts

The Return Receipts option confirms that your message was received.  Messenger supports delivery receipts and read receipts.  Delivery receipts let you know that your message arrived in the recipients inbox on the mail server.  The recipient server must support the Delivery Service Notification (DSN) standard.  Read receipts let you know that the recipient opened your message.  The recipient must have a mail program that uses the Message Disposition Notification (MDN) standard.

To request Return Receipts for messages, you must set preferences stating the type of receipt you want.  You must indicate that you want a receipt while composing the message.  To set Return Receipt preferences: 

  1. Click on Return Receipts from the Mail and Newsgroup Preferences category.   The Return Receipts preference dialog box appears.
  2. Specify the type of receipt you want: delivery, read or both.
  3. Specify whether you want to store the receipts in your Inbox or in your Sent mail folder.
  4. Specify how you want Messenger to handle requests for MDN receipts sent to you: never or only from certain addresses.  Click Customize to set options for handling those messages.
  5. When you make all your selections, click on OK.  Depending on your choices, the Return Receipt preferences window will look similar to the following:

To activate the receipt notification for a message:

     
  1. In the Composition window, click Options.
  2. Check the Return Receipt checkbox.

 Disk Space

The disk space preferences option allows you to limit the disk space used by email.
     
  1. Click on Disk Space from the Mail and Newsgroup Preferences category.  The Disk Space preference dialog box appears.
  2. To avoid downloading large messages, check "Do not download any messages larger than" and type the maximum size.
  3. To keep message folders compact, check "Automatically compact folders when it will save over" and specify the amount of disk space.  When it is possible to save this amount of disk space, message folders will be automatically compacted.
  4. When you have made all your choices, click on OK. Depending on your choices, your Disk Space preferences  window will look similar to the following:
